Refund Policy

1. Overview

At FitConnect, we strive to ensure customer satisfaction. This Refund Policy outlines the terms and conditions for refunds on gym memberships, subscriptions, and product purchases made through our platform.

Important: Refund policies may vary by individual gym. Please check with your specific gym for their refund terms in addition to this policy.

2. Gym Membership Refunds

2.1 Eligibility

You may be eligible for a membership refund if:

  • You request cancellation within 7 days of purchase (cooling-off period)
  • The gym permanently closes or relocates beyond reasonable distance
  • Medical conditions prevent you from using gym facilities (with documentation)
  • The gym fails to provide services as advertised
  • You relocate to an area without partner gym coverage (with proof)

2.2 Non-Refundable Situations

Refunds are generally not available for:

  • Used portion of membership period
  • Change of mind after the 7-day cooling-off period
  • Temporary gym closures (holidays, maintenance)
  • Violation of gym rules leading to membership termination
  • Promotional or discounted memberships (unless stated otherwise)

2.3 Partial Refunds

Pro-rata refunds may be issued for unused membership periods in qualifying circumstances. The refund amount will be calculated based on the remaining unused days of your membership.

3. Product Purchase Refunds

3.1 FitConnect Shop Products

Products purchased through our shop can be returned within 15 days of delivery if:

  • The product is unused and in original packaging
  • The product is defective or damaged upon arrival
  • You received an incorrect product
  • The product significantly differs from the description

3.2 Non-Returnable Items

The following items cannot be returned:

  • Personal hygiene products (opened)
  • Supplements and consumables (opened)
  • Customized or personalized items
  • Downloadable digital products
  • Items marked as final sale

3.3 Return Process

  1. Contact our support team within 15 days of delivery
  2. Provide your order number and reason for return
  3. Receive return authorization and shipping instructions
  4. Ship the item back in original packaging
  5. Refund processed within 7-10 business days of receiving the return

4. Subscription Service Refunds

For recurring subscriptions (monthly, quarterly, annual):

  • Cancel anytime before the next billing cycle to avoid charges
  • No refunds for partial billing periods
  • Annual subscriptions may qualify for pro-rata refunds within first 30 days
  • Free trial conversions can be refunded within 48 hours of first charge

5. Refund Process

5.1 How to Request a Refund

  1. Log in to your FitConnect account
  2. Navigate to your order/membership history
  3. Select the item and click "Request Refund"
  4. Provide reason and any supporting documentation
  5. Submit your request

5.2 Processing Time

  • Review: 2-3 business days
  • Approval notification: Within 24 hours of decision
  • Refund processing: 5-7 business days after approval
  • Bank reflection: Additional 3-5 business days depending on your bank

5.3 Refund Methods

Refunds are issued to the original payment method:

  • Credit/Debit Card: Refund to the same card
  • UPI: Refund to linked bank account
  • Net Banking: Refund to the same bank account
  • Wallet: Refund to FitConnect wallet (can be used for future purchases)

6. Cancellation Policy

6.1 Membership Cancellation

To cancel your gym membership:

  1. Submit cancellation request through your account or at the gym
  2. Provide required notice period (typically 30 days)
  3. Return any gym access cards or equipment
  4. Settle any outstanding dues

6.2 Order Cancellation

Product orders can be cancelled before shipping. Once shipped, please follow the return process instead.

7. Disputes

If your refund request is denied and you believe the decision is unfair:

  1. Reply to the denial email with additional information
  2. Request escalation to a senior team member
  3. Contact our grievance officer at grievance@fitconnect.com

We aim to resolve all disputes within 30 days.

8. Special Circumstances

8.1 COVID-19 and Force Majeure

In case of gym closures due to government mandates, pandemics, or other force majeure events, we will offer:

  • Membership freeze/extension for the closure period
  • Credit for future use
  • Full or partial refund (case-by-case basis)

8.2 Deceased Member

In the unfortunate event of a member's passing, immediate family members can request a full refund of unused membership by providing a death certificate.
